Terms and Conditions of MRI Safety Matters® Events
General
Event Organisation and Acceptance of Terms:
The events are organised and managed by MRI Safety Matters®, a sole trader business. All applications to register for an event are subject to and governed by these Terms and Conditions.
Notice:
Acceptance of attendance at any course, study day, or webinar (each referred to as an “Event” for the purposes of these Terms and Conditions) delivered by MRI Safety Matters® (referred to as “We”) as an events and training provider, is expressly subject to the customer’s agreement to these Terms and Conditions. Any additional or alternative terms proposed by the customer are expressly rejected and shall not be binding on MRI Safety Matters® unless explicitly agreed to in writing by an authorised representative of MRI Safety Matters®.
Bookings:
Eligibility to attend our Events is limited to individuals who work in, or are associated with, MRI scanning, MRI safety, radiography, MRI physics, radiology, MRI-related education or training, MRI-related innovation or products, or any other MRI, radiography, or radiology-related field. It is your responsibility to ensure that you meet these eligibility criteria prior to booking. We reserve the right to refuse admission to any individual who does not meet the appropriate eligibility requirements.
All applications to register for an Event are subject to availability and will only be confirmed upon receipt of full payment or a valid purchase order from the funding organisation before the Event starts.
Entry to the Event will only be permitted where the booking process has been fully completed.
We reserve the right to decline entry to an Event at our discretion.
Payments, Discounts, and Substitution of Registrants:
The fees for attending an Event are detailed on the relevant pages of our website or within the Event invitation. All prices are subject to change without prior notice.
Unless otherwise agreed with the Event organiser, payment terms for invoices shall be 30 days.
Payments may be made via bank transfer, cheque, or PayPal. PayPal payment details will be provided upon request by the Event organiser. For payments made by cheque, the attendee’s name and invoice number must be clearly stated on the reverse.
Group discounts may be available upon request.
To support access to certain Events, subsidised attendance rates are available for individuals who are self-funding (i.e. paying the fee themselves) and for undergraduate students (who are not yet qualified). Details of these rates are provided on the website.
Confirmation (or rejection) of your booking will be sent to your email address. A receipt will be provided on request.
Confirmation of booking issued for the Event is valid for the named attendee but may be transferred to another eligible person if discussed and agreed with the Event organiser beforehand. The person replacing the registrant must register for the Event in the usual way, through the website www.mrisafetymatters.com to ensure that the organiser has all the relevant details for their replacement. If attending an Event, attendees may be required to present valid proof of identity to verify that they are the individual named on the booking confirmation.
Cancellations, Event Changes, and Refunds:
It may be necessary for reasons beyond our control to alter the advertised content, exhibits, timing and/or location of the Event, or the advertised speakers (if applicable). We reserve the right to do this at any time. Where We alter the time and/or location of the Event, We will provide you with notice of the same and will offer you a refund or the opportunity to attend the Event as varied. Attendance at the varied Event shall be subject to these terms and conditions.
We reserve the right to cancel an Event at any time. In the event of cancellation, We will offer either a full refund of any fees paid by you or your funding organisation (as applicable), or the option to transfer the booking to an alternative MRI Safety Matters® Event.
We shall not be liable for any travel, accommodation, or other costs and expenses incurred by you if the Event is cancelled, relocated, or rescheduled.
If you are unable to attend the Event and you let us know at least 10 working days before the start of the Event, We will refund the entire Event fee paid. If We are given less than 10 working days’ notice of an intention not to attend the Event, We reserve the right to retain part or all of the Event fee as set out on the Event website or in the information you received about the Event.
To be eligible for a full refund, you must notify us of your inability to attend at least 10 working days prior to the Event start date, or by the deadline specified on the Event website, or in your registration confirmation email.
Limitation of Liability:
To the fullest extent permitted by law, MRI Safety Matters®’ total liability to you, whether arising in contract, tort (including negligence), or otherwise, in connection with any booking (or requested booking) or your attendance at an Event, shall be limited to the amount paid by you for that Event.
MRI Safety Matters® shall not be liable for:
(i) any loss of profit, loss of or damage to data, loss of anticipated savings or interest;
(ii) any indirect or consequential losses, damages, costs, claims, or expenses of any kind.
You agree to indemnify and hold harmless MRI Safety Matters®, its employees, and affiliates, to the fullest extent permitted by law, against any losses, costs, claims, or expenses arising from any act or omission by you in connection with the Event.
Nothing in these Terms and Conditions shall limit or exclude either party's liability for:
death or personal injury caused by that party's negligence, or the negligence of that party's employees, agents or subcontractors;
fraud or fraudulent misrepresentation or any other liability which cannot be limited or excluded under applicable law;
any other liability which cannot be limited or excluded by applicable law.
Event Recording:
All attendees, whether attending an Event in-person, virtually or on-demand, are prohibited from recording any part of the Event(s), including speakers, lectures, or any content delivered by presenters unless authorised by an authorised representative of MRI Safety Matters®.
Attendee Conduct:
MRI Safety Matters® reserve the right to refuse entry to or remove any attendees from our Events if their behaviour or conduct is adversely affecting any others attending the Event.
In-person access Events
Dietary Requirements and Allergies:
When registering for an in-person Event, attendees are asked to disclose any food allergies or dietary requirements in writing in the designated section of the application form. Individuals with food allergies are required to provide details regarding the severity of the allergy and confirm whether they carry an EpiPen.
Personal Belongings at In-Person Events:
Attendees are kindly requested not to leave bags or personal items unattended while on site and to make full use of the cloakroom facilities available. MRI Safety Matters® cannot accept responsibility for any loss, theft, or damage to personal belongings brought to the Event.
Registration Process:
Attendees will be issued with a name badge at registration for security purposes. These should be worn at all times during the Event and remain clearly visible.
Event Photography and Filming:
Photography and filming may take place at our Events as organised by MRI Safety Matters® for promotional purposes. You are advised that attending the Event may result in the incidental inclusion of you within such photographs or videos. You must let the Event organiser know if your face is not to be included in any photographs. Where a request is made to ensure an attendee’s face is not shown, We will endeavour to arrange for you to meet the Event photographer at the Event to discuss your needs. We accept no responsibility for photographs or recordings captured and shared by other attendees or third parties on social media or any other platforms.
Content:
All rights in any presentations, documentation, and materials published or otherwise made available in connection with the Event (including, but not limited to, documentation and any audio or audio-visual recordings) (the “Content”) are owned by MRI Safety Matters® or are used with the permission of the relevant rights holder.
You may not distribute, reproduce, modify, store, transmit, or otherwise use any of the Content without the prior written consent of MRI Safety Matters® or the relevant rights owner.

Where any Content is made available online, We reserve the right to suspend or withdraw access to such Content at any time without prior notice. Where any content is removed, a reasonable explanation as to why will be provided to all those registered to access it.

MRI Safety Matters® is based in Edinburgh, Scotland, United Kingdom.
MRI Safety Matters® will not share your details with any parties without your agreement, as per GDPR guidance.
MRI Safety Matters® is registered with the Information Commissioner’s Office, the regulator of data protection. All data is handled and stored securely.
When do we collect your personal information?
As a training event organiser, We collect only the information you supply to us when you apply to register for an Event, or subscribe to our email newsletters or updates, or ask to be informed of future Events.
Unless already on our mailing list (having previously attended an Event, expressed interest, or subscribed to receive updates and not unsubscribed), or have subscribed to our email newsletters or updates, or have asked to be informed of future Events, then We will not contact you to inform of you of future Events without your consent.
What type of information do we collect?
Common information We ask for includes:
personal information provided during the booking process which will be used to administer your booking and to contact you regarding the Event; this includes, but is not limited to, your name, e-mail address, job title, and place of work;
for those attending in-person Events or training programmes, We require details of any relevant dietary requirements for catering purposes.
Information may be provided on your behalf or at your request, for example if any person makes a booking for any of our training courses, facilities or other services on your behalf. Information about you which We may receive from other sources may include:
your name, e-mail address, job title, and place of work.
When do we share your information?
We may share your information with certain third parties only if you have asked us to or have consented to do so.
We will never disclose your personal information otherwise to third parties unless:
We are under a duty to disclose or share your personal information in order to comply with any legal or regulatory obligation, or in order to enforce or apply any contract or terms in force between you and us; or to protect the rights, property, or safety of MRI Safety Matters®, our customers or others. This includes exchanging information with other companies and organisations for the purposes of security, law enforcement, fraud protection and credit risk reduction.
We will only disclose as much information as is required for the third party to fulfil the particular function.
How long do we keep your information?
We may keep and process your personal information for as long as necessary to fulfil the purposes We collected it for, or for as long as it is necessary to do so for legal reasons.
We will review your personal information regularly to establish whether We are still entitled to process it. If We decide that We are not entitled to do so, We will stop processing your personal information to the extent that it is appropriate to do so and securely delete it.
